Privacy Policy

1. Information We Collect

We collect information you provide directly to us, such as your name, email address, phone number, and business details when you fill out our contact form, place an order, or use our AI Concierge chat or Case Builder intake tools.

We also automatically collect certain technical information when you visit our website, including your IP address, browser type, referring URL, and pages visited. This information is collected through cookies and similar technologies, which you can manage through our cookie preference center.

2. Sensitive Information for Government Filings

Certain services — such as LLC/Corporation formation and EIN (Employer Identification Number) applications — legally require sensitive identifiers: Social Security Numbers (SSN), Individual Taxpayer Identification Numbers (ITIN), passport numbers, or dates of birth. We only collect these fields for customers who request a service that requires them.

We do not store these identifiers in plain, readable form in our case management system beyond what is operationally necessary — sensitive fields are masked before being written to our database, and the underlying value is used only transiently to prepare the specific government document requested (for example, an IRS Form SS-4). A human operator reviews every case before any document is generated or a filing is submitted; we do not auto-submit filings to a government agency without that review.

We do not use sensitive identifiers for marketing, profiling, or any purpose other than preparing the filing you requested.

3. How We Use Your Information

We use the information we collect to:

  • Prepare and file your business documents with state and federal agencies
  • Operate the AI Concierge chat and Case Builder intake tools
  • Communicate with you about your order or case
  • Send you updates and marketing communications (with your consent)
  • Improve our website and services
  • Detect and prevent fraud or abuse of our services
  • Comply with legal obligations

4. AI-Assisted Features

Our AI Concierge chat and parts of our Case Builder intake flow are powered by third-party AI model providers. Messages you send may be processed by these providers to generate a response; we do not send sensitive identifiers (SSN/ITIN/passport numbers) to these AI providers as part of a chat conversation.

The AI Concierge provides general, procedural information only — it is not a substitute for advice from a licensed attorney or accountant, and it is not authorized to provide legal, tax, or financial advice. Responses may occasionally be inaccurate; numeric figures like fees and deadlines should be confirmed with us directly before you rely on them.

5. How We Share Your Information

We do not sell, rent, or trade your personal information. We share information only as necessary to operate our business and deliver the service you requested, including with:

  • State Secretary of State offices, the IRS, and other government agencies necessary to complete your filing
  • Our registered agent operations, where applicable to your order
  • Payment processors (PayPal) to process your order
  • Email delivery providers (Resend) to send transactional and requested marketing communications
  • Third-party AI model providers, solely to power the AI Concierge and Case Builder features described above
  • Service providers who assist us in operating our website and business, under confidentiality obligations

6. Data Retention

We retain sensitive identifiers (SSN/ITIN/passport numbers, dates of birth) only for as long as necessary to complete the specific filing you requested, and delete or further redact them once the filing is complete or the case is closed, whichever comes first.

We retain other account, contact, and order information for as long as needed to provide our services, comply with legal and tax recordkeeping obligations, and resolve disputes.

7. Data Security

We implement reasonable technical and organizational measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction, including masking sensitive identifiers before storage and restricting access to case data to authorized operators. However, no method of transmission over the Internet or electronic storage is 100% secure.

8. Cookies

Our website uses cookies to enhance your browsing experience and analyze website traffic. You can choose which categories of cookies (Necessary, Analytics, Marketing) to allow through our cookie consent banner, and change your choice at any time via the "Cookie Settings" link in our footer.

9. Your Privacy Rights

You have the right to access, correct, or delete your personal information, and to opt out of marketing communications at any time. We do not sell personal information, so there is nothing to opt out of in that respect. Depending on where you live, you may have additional rights under laws such as the CCPA or GDPR, including the right to data portability and to lodge a complaint with a supervisory authority. To exercise any of these rights, contact us at hello@filerbros.com.

10. International Users

We serve customers worldwide, including non-US citizens forming US businesses. If you access our services from outside the United States, your information will be processed and stored in the United States, and by using our services you consent to that transfer and processing.

11. Children's Privacy

Our services are intended for individuals who are at least 18 years old and are not directed at children. We do not knowingly collect personal information from children under 18.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page with an updated revision date.
